HR Assistant / Office Manager

For our office in Amsterdam we are looking for an HR Assistant / Office Manager. This is a combined role that is part of our People Team consisting of the Head of People, Talent Management Partner & People Operations Specialist.

We have a great, home-like office in the center of Amsterdam, it is a place where we meet, work and come together to have fun.

In this role we expect you to ensure everything in the office runs smoothly and people feel welcome while at the same time you support our People team with the HR administration.

Responsibilities

HR

  • HR administration: keep employee files up to date, absence administration, support with new hires & leavers;
  • Coordinate VISA applications for employees visiting Amsterdam or our offices worldwide;
  • Support our onboarding program (send Welcome packages, help organize onboarding days to make sure our new hires feel welcome);
  • Prepare HR documents like employment contracts, letters, and employer statements;
  • Participate in various HR projects;
  • Coordinate ordering and distribution of employee gifts for special occasions.

Office-management

  • Host: point of contact - welcoming guests/visitors, customers, employees;
  • Manage contracts/relations with all our office suppliers including landlord and cleaning facilitator and our neighbors in the building;
  • Responsible for the office administration and facilities to ensure an organized, pleasant, and safe working environment, this includes:
    - key distribution
    - managing email inbox
    - waste
    - distribution of post/packages/laptops (ingoing – outgoing);
  • Order office supplies (coffee, (healthy) snacks, stationery);
  • Act as coordinator “bedrijfshulpverlening” (BHV);
  • Organize company social events & drinks and support the other country offices with social events.

You will report to the Head of People. The People team is part of our Enable Department (which includes Finance, Legal, People team, IT&Security, and facilities) managed by the CFO. For Office related contracting and real-estate-related work you will have a direct line toward the CFO.

Requirements

  • 3+ years of experience in Office Management and/or HR administration within an international environment;
  • Great at planning and organising, a people-first mindset combined with a clear, approachable, and friendly communication style;
  • Accurate, organized & structured with an eye for details;
  • Independent worker with a strong sense of ownership;
  • You speak and write Dutch (native level) and English (business level);
  • Well-versed in Microsoft Office (Excel, PPT, Microsoft Word);
  • You are digitally savvy and creative;
  • Available min. 4 days per week, ideally based close to Amsterdam (we like our HR Assistant/Office Manager to be in the office at least 3/4 days p/w);
  • Appropriate First Aid certification to fulfill the role of “BHV-coordinator” or willingness to follow the training on the short term.
